What is an RFI?
A request for information is a document, piece of correspondence or communication used during the construction process to clarify the necessary details of the project. These might be request to the client, trade partners or designers.
The RFI (Request for Information) tool in Procore is important to use to ensure clear and set lines of communication. This tool allows up to link related items to make it easier to see the communication chain.
How to submit an RFI using the Procore app.
The Procore mobile app RFI tool works the same way as the online version.
1. Open the Procore mobile app, ensure you are in the correct project and select the RFI tool.
2. Use the search bar at the top of the page to quickly find numbers or key words, or use the three line symbol to filter by status, assignee, due date etc.
3. To create a new RFI select the +
- The Assignee is the person that the RFI is directed at/will need to action it
- The Distribution should always include the core CBC site team (Project Manager, Site Manager, Leading Hand, and yourself)
- Select the following symbols to add/link photos or related items
4.When you have entered the required information select Create
When you select create and issue, notification emails will be sent to the assignee and the distribution members.
If you are unsure about any of the information, change the status to draft and ask your site manager or project manager to review before then selecting create.
5. Viewing a RFI will show you the information input during creation, and will give you the option to Export>PDF, Create & Link (to link to a different item and create said item e.g. a Correspondence type or Change Event), or Edit.
There will also be an Activity section below the RFI details.
- The Activity section is where the Assignee and Distribution members are to submit their notes/comments/responses to the RFI. If they email a response separately, direct them to respond via Procore to ensure information is entered correctly.
- If the response resolves the RFI then you can Post Response and Change Status to change it to Closed.
- Alternatively, when the RFI has been resolved and all surrounding communication recorded in the Activity section, you can click Edit at the top of the page and change the Status to Closed from there.
If the response requires a CAN to be issued, the consultant must issue the CAN via the Correspondence tool.
- If the CAN is created from the mobile app, you will need to manually link the RFI to the CAN using the Web version of the Correspondence or RFI tool
