What is an observation?

Observations are used to record hazards and general observations about items around site that may need actioning. 

When should I complete an observation?

There are templates for quality, sustainability, work to complete and incidents and inspections. 

How to submit an observation on the Procore app.


The Procore app is the best way to conduct inspections on site. 

If you don't have the Procore app see how to set it up here


1. Open the Procore mobile app and select the Observations tool.


2. Select the orange + in the bottom right-hand corner.


3. Select create observation without template.


  • Select the relevant type of Observation e.g. Hazard, Positive Observation, Work to Complete etc.


  • Enter the details for the Observation.


  • Make sure to enter all requested details – the more information entered the better.


  • Add photos and/or documents using the Camera and Attachments buttons at the top of the page.


4. Select save and finish or, if there are more observations to enter, Save and New. This will change the status to Initiated.

Creating an Observation does not automatically send out a notification to the Assignee(s) or Distribution list


5. Once you have created all your Observations, open the Observations tool and tap the Send arrow at the top of the screen - notifications for the newly created Observations will now be sent to the Assignee(s) and Distribution List



5. When the observation has been resolved – and you have taken any necessary actions – open the Observation.

  • Ensure the resolution/action taken is recorded as a Comment/Response to the Observation.


  • Select Change Status.


  • If the action taken is acceptable, change to Ready for Review if your Site or Project Manager needs to review, or change to Closed to complete the Observation.


  • If the Action taken is not adequate change the status to Not Accepted until acceptable action is taken, then see above.
