Correspondence
The Procore Correspondence tool is where you will create, view, and edit the following:
Use the filter function in the Correspondence tool to make finding the relevant information easier e.g. filter by Type, Date Created, Assignee etc. You can layer multiple filters to more accurately narrow down the information.
Trade Partner General Correspondence (GC)
You will receive an email that looks similar to the following
- From here you can see the GC number, Title, who issued it, who it is assigned to, the message, and any attachments
If the message requires a response, or you have any clarifying questions, click View Online at the bottom of the email
This will open Procore online and take you to the item page which will show the same information
- At the bottom of the page there is an Activity section – enter your response of question in the provided text box, and attach any documents or images
- Click Post Response – this returns the item to the issuer to action. They will either close out the item, or respond to your query
- If they respond, you will get another email informing you of this – follow the same process to reply/resolve
Alternatively, you can reply to the email directly with your response/question
- This will record your response in the Activity section of the item as follows
Site Instruction (SI)
You will receive an email similar to the following
- From here you can see the GC number, Title, who issued it, who it is assigned to, the message, and any attachments.
You will also see the due date for the Site Instruction, and the Type - The instruction Type will always be one of the following
To view more details and to respond to the item, click View Online at the bottom of the email.
This will open Procore online and take you to the item page which will show the same information, as well as any linked items (e.g. any relevant RFI’s)
- At the bottom of the page there is an Activity section – enter your response of question in the provided text box, and attach any documents or images
- Click Post Response – this returns the item to the issuer to action. They will either close out the item, or respond to your query
- If they respond, you will get another email informing you of this – follow the same process to reply/resolve

Note: if you do not respond appropriately before the due date this may severely impact the project, and Cook Brothers may assess any variation (if applicable), the payment of which the Trade Partner will not be entitled to
