What are Submittals?
The Submittals tool is a great way to track the shop drawings approval process, and can be used for other documentation as well. It keeps all of the information together and accurately shows who approved what when, what revision, and what notes were given.
Submittals can be set up just a standalone Submittal or you can set up a Submittal Package that contains various Submittals.
i.e. ‘Structural Steel Shop Drawings’ as a Submittal, and ‘Concrete Shop Drawings’ as a Submittal Package containing Submittals for ‘Precast Panel Shop Drawings’ and ‘Concrete Formwork Shop Drawings’.
Create Submittal
Open the Procore Submittals tool.
In the right hand sidebar click +Create then select Submittal.
Input the General Information:
- Enter a Title.
- If your Specifications have been uploaded, select the relevant Spec Section from the dropdown.
- The Number will automatically update to the next available, so you shouldn’t need to change this.
- Select the Submittal Type from the dropdown list e.g. Shop Drawing.
- Select the Submittal Package you want it added to (optional).
- The Responsible Contractor is the trade partner that needs to create/submit the drawings/documents.
- Submittal Manager should be the Project Manager or Site Manager.
- The remaining items are optional – ideal if you can, but don’t worry if not.
Note: this attachment should not be the shop drawings.
Once you have entered the General Information, scroll down – you will see a Submittal Program Information section (optional). If you have uploaded your programme to the Program tool you can link the submittal with a line item.
The next section is the Submittal Workflow section.
A Submittal Workflow should have at least 2-3 steps, but it can have more.
- Step 1 of the workflow should be the trade partner with the Role set as Submitter Check how many days they have to respond.
- Step 2 of the workflow can either be the CBC team if they want to review the drawings/documents before the consultants, or the consultants.
The Role should be set to Approver either way.
Check how many days they have to respond. - Step 3 of the workflow will generally be the consultants if step 2 was the CBC team.
- Any workflow steps past step 2 are optional.
Create a Submittal Package
Open the Procore Submittals tool.
In the right hand sidebar click +Create then select Submittal Package.
Input the General Information:
- Enter a Title.
- If your Specifications have been uploaded, select the relevant Spec Section from the dropdown.
- The Number will automatically update to the next available, so you shouldn’t need to change this.
- Optional: add a description and any extra attachments.
Note: this attachment should not be the shop drawings.
If you have already created a standalone Submittal then later realized it should be part of a package, you can add the existing submittal in the Add Existing Submittals to This Package section.
You can also create a new Submittal directly from the Package – scroll down and click Create Submittal then follow the Standalone Submittal set up steps.
Note: This will only create it as a draft, you will have to go back later to complete the Submittal and issue it.
You can also add more Submittals at a later date.
When you have added/created the Submittals you want, click Create Package.
You will now see the Submittal Package and any Submittals it contains:
